Classroom Technology AV Policy

1.0  Only official Health Sciences Center & WVUH classes, programs, and conferences are authorized to reserve equipment.

2.0  Rooms with built-in AV should be scheduled by logging onto the HSC Room Scheduling software.

3.0  Rooms with built-in AV can have an AV Technician assigned to assist with the coordination of multiple AV needs during normal business hours free of charge. Requesting A/V technical support during normal business hours requires 48 hours notice.

After hour AV Technical Support is mandatory for any Non -WVU employees. Student Groups & Outside organizations are required to pay for AV Technical support when utilizing rooms after normal business hours with built-in AV equipment. After-Hour Technical Support for Student or Outside Groups is subject to declination based upon support staff availability. Requesting After-Hour A/V Technical support requires a minimum of 1 week’s notice (2 weeks is preferable)

4.0  To ensure availability, all equipment reservations should be made in advance. Walk-ins are welcome but note that standing reservations take priority over walk-ins. All reservations are made on a first come- first serve basis.

A/V Check-out hours are between 8:00am and 4:00pm Monday thru Friday. If AV equipment is needed outside of this timeframe, users must ensure that the same piece of equipment is available for the full duration of time needed. Note: Duration of any A/V equipment may not exceed 7 days with the exception of Easels.
