Remote Exam Monitoring Reminder

Zoom can be utilized as an online exam monitoring tool. You can complete authentication with student ID's prior to exam start, monitor up to 24 students at a time, utilize the SOLE LockDown browser and record exams for later review as needed.

STEP 1: Assign Proctors to Student Groups & Request Zoom Proctor Accounts

Begin by breaking students into groups and identifying one proctor per group. No more than 25 per room, including the proctor, is recommended.

Next, request a Zoom account with Proctor settings via the Remote Exam Proctor Form for every Proctor required and email it to Cindy Barnes.

Then, review the detailed Quick Startup Steps and all accompanying pages, including Faculty/Proctor Setup, Student Setup, and the Sample Remote Monitor Solution. These pages should also be shared with both Proctors and Students for their review prior to the first proctored exam.

STEP 2: Notify Students of Exam Schedule/Meeting ID

We recommend a practice session with Students and HSC ITS. Send practice exam Zoom invite to Jimmy Morley, Erin Bunner, Donovan Monday, Joe Marton and Laura Roth. When ready, inform students of upcoming Mock Exam and regular Exams.

Each Proctor is assigned a unique meeting ID number that the students will use to join the exam. Students will need to be provided with an updated exam schedule, including their assigned proctors and meeting ID numbers. Utilize this Proctor and Student Assignments spreadsheet.

Students should also be reminded that they must use the Zoom application with the Meeting ID for all proctored exams. They cannot use the Web application.

STEP 3: SOLE Exam and Zoom Meeting

The course administrator must create the exam and enable the LockDown browser. We recommend setting a time limit and password but avoiding release and end dates. Additionally, exam length should be extended, about 40 seconds to one minute, in order to include additional time to authenticate with students. Once all settings are set, the exam should be released and the password should be sent to proctors.

On the day of the exam, once everyone is in the Zoom meeting room, proctors should follow the authentication procedure for each student and release the password via Zoom Chat to students.

STEP 4: Technical Support

Once in the LockDown browser, students can no longer see Zoom but will have audio. Students having issues launching the Zoom application, or other technical issues, can contact the HSC ITS Help Desk at 304-293-3631, option 1.
